Why is my case not showing in RPT?

  • It takes up to 2 hours to create the case in RPT after initiation 

What happens to the data sheet after I complete and submit it?

  • It takes up to 2 hours for the data sheet to get sent to the case’s Internal Sections. From there you must upload the document to the case requirement.

Why can’t I delete a document the candidate uploaded?

  • Candidates are the only users who can delete documents that they have uploaded. Administrators cannot delete a document uploaded by a candidate.

Why can’t the candidate see a document that I shared with them?

  • There could be a few different reasons:
    • The time allotted for a response has lapsed
    • The candidate was never notified of their case and therefore has no access to any materials within the case
    • The case was moved to an APF review step, which means the everyone with access at the unit level will no longer be able to view the case. 

Why don’t I see a link to the required form?

  • Whoever should complete the form must be made a Committee Manager on that step.

Do I need to notify the candidate of their case?

  • Absolutely. You must notify the candidate of their case or they will not be able to upload documents, complete any forms, or view any documents shared with them.

Do I need to create a new committee before initiating cases for a new year?

  • Maybe. If the committee membership will not change in the coming year, then the same committee can be used from year to year. However, if any membership on a standing committee will change in the new year, a new committee must be created in Users & Groups and then the template case review step should be edited so the existing committee can be replaced with the new committee.

Who should be the Committee Manager?

  • A committee will need someone to be designated as the Committee Manager on a step if there is a required form to complete. If there is no Committee Manager, then no one will be able to complete the form. 

Do I need to download case materials before forwarding the case to an APF review step?

  • Yes, if you want to keep a local copy for reference. APF will download and retain all promotion and/or tenure cases according to retention requirements after the final decision has been made.

  • These are found on the Case Details tab on the case.

What do I do to start a new case?

When can I initiate a case for the new promotion and/or tenure cycle?

  • APF opens up case initiation on January 2nd of each year.

When can I no longer initiate new cases?

  • APF closes case initiation on September 30th each year.
