The Office of Academic Personnel (OAP) plays a role in stewarding a wide range of human resources and personal information related to academic personnel at the University of Washington. We provide data to support requests from academic units, UW administrative departments, as well as requests from external agencies as required by law.

All internal requests for academic personnel data that do not involve demographic data are managed by OAP.  With the Office of Equal Opportunity and Affirmative Action (EOAA) now relocated to UW Human Resources (UWHR), requests for demographic information should be submitted via email to hris@uw.edu. While EOAA will manage demographic data requests, OAP will continue to partner with them as appropriate.

OAP adheres to UW’s Privacy Policy, and is an active partner with UW’s Privacy Office and HR Data Domain Council.

Submitting Academic Personnel Data Requests

To submit a data request, complete the Academic Data Request Form.  All data requests must demonstrate a clear business need, and may be subject to review by the HR Data Domain Council.

By state law (RCW 42.56.250), the University is prohibited from releasing personal contact information, employee identification numbers, and identifiable personal demographic information unless aggregated to a population size of at least 5 individuals.

Data Availability

  • Delivery timeframes are typically within two weeks, but may be longer if additional institutional review is necessary. 
  • Census data is available starting in 2011.
  • Hiring and termination/separation data is available starting in 2017.
  • Faculty promotion data is available starting in 2007.
