The Office for Academic Personnel and Faculty (APF) plays a role in stewarding a wide range of human resources and personal information related to academic personnel at the University of Washington. We provide data to support requests from academic units, UW administrative departments, as well as requests from external agencies as required by law.
APF adheres to UW’s Privacy Policy, and is an active partner with UW’s Privacy Office and HR Data Domain Council.
Submitting Academic Personnel Data Requests
Internal requests for academic personnel data and demographic information should be submitted via email to hris@uw.edu. All data requests must demonstrate a clear business need, and may be subject to review by the HR Data Domain Council.
By state law (RCW 42.56.250), the University is prohibited from releasing personal contact information, employee identification numbers, and identifiable personal demographic information unless aggregated to a population size of at least 5 individuals.
Data Availability
- Delivery timeframes are typically within two weeks, but may be longer if additional institutional review is necessary.
- Census data is available starting in 2011.
- Hiring and termination/separation data is available starting in 2017.
- Faculty promotion data is available starting in 2007.

- Transcripts: Contact the UW Registrar’s Office.
- Employment verification: Visit Employee Workday Help.
- Mailing lists of UW employees: Visit Employee Workday Help for internal use cases; contact the UW Public Records Office with external requests.
- Applicant pool data for UW Interfolio Faculty Search recruitments: Users with the “Administrator” role in Interfolio can access their unit applicant pool data from 2018 on. Please contact eoaa@uw.edu with questions related to accessing this data.
