Sabbatical Leave: Guidance for Academic Administrators

At the University of Washington, sabbatical is formally called Paid Professional Leave, though it is more commonly referred to as Sabbatical Leave. Academic administrators support the sabbatical process by reviewing faculty cases in Interfolio RPT and completing a checklist to confirm that each application is complete and ready to move forward. The questions below outline the key information administrators are asked to verify, including eligibility, documentation, joint appointments, multi-year leaves, and planned activities during the sabbatical.

What Academic Administrators need to know

After reviewing a sabbatical applicant’s case in Interfolio RPT, administrators will be asked to complete a checklist to ensure that the case is ready to move to the next step. Here are the questions that administrators will be asked to answer:

  • Are the application materials complete and accurate?
  • Are committees assigned for the future case steps?
  • Have all relevant materials been uploaded to the case?
  • If the applicant has a joint appointment, has a letter of concurrence been uploaded to the Joint Appointment Concurrence section of the case?
  • Has the Workday report been run to confirm the applicant’s eligibility?
  • If the report does not confirm eligibility, has an explanation been provided as to why the case should move forward?
  • If the applicant has a multi-year sabbatical, has all relevant information been reviewed?
  • Have all leaves been reviewed?
  • Will the applicant’s state supported pay during their sabbatical exceed the statutory limit?
  • Does the applicant plan to perform and be paid for outside work during the sabbatical?
  • Is the applicant term faculty with an appointment end date prior to June 2027?
  • Is the applicant in their mandatory promotion year?
  • Does the sabbatical plan include teaching (elsewhere or at UW)?
  • Does the applicant plan to continue any regular duties?
  • Is there anticipated additional salary?
