FAQ: Merit for Student Advising and Continuum College Employees Released from PERC Petitions

How is professional staff merit administered for employees who were in dynamic status quo but are now released from the petition?

Unit merit contacts were invited to an informational session on 9/10 and received an email with access to a Merit Adjustment Tool that will be used to award merit to eligible employees as they are released from the PERC petition. Additional access to the tool will not be granted so please work with your unit merit contact if you need visibility to the status of employees in the tool. 

Will merit be retroactive to September 1, 2024? 

Yes. Merit eligible employees will have merit retroactively applied effective September 1, 2024. 

When will the retroactive merit be reflected on paychecks? 

If departments submit merit decisions in the Merit Adjustment Tool… The increases will be reflected
on this paycheck

What if I need to make a change after I submit a record? 

Email prostaffmerit@uw.edu with the employee name, EID, and details of the change. If the record is in submitted status and not yet sent for upload, we will move the employee back to released status for you to re-enter the merit decision. If the record is in completed status, we will advise on how to make change. 

How do I handle employees who have terminated? 

If the termination is effective prior to 9/1, select the Ineligible-Retire/Resign/Nonrenew reason code and do not award merit.  

If the termination is effective on or after 9/1, reward merit following the merit process guide and note the termination date in the Notes field. Retroactive merit will be paid for eligible employees who have terminated on or after 9/1. 

Who has access to the tool? 

Access to the Merit Adjustment Tool and to specific records is controlled by netID. Merit contacts have access to employees in their supervisory org. We ask that merit contacts coordinate the submission for their department rather than requesting additional access to the tool. 

When can departments share news of merit with released employees? 

UWHR Compensation will notify departments when the requested merit is approved. Departments should not communicate with employees until they receive the official approval email.
