Announcements
New Workday Reason Codes for Academic Personnel
There are two new reasons codes available in Workday for the following business processes:
  • Request Compensation Change – Postdoctoral Scholars business process: Select the new Postdoctoral Scholar Anniversary Date reason code when initiating this business process to increase compensation upon the postdoc’s anniversary date.
  • Update Academic Appointment business process: Select the A/B Split reason code when initiating this business process to adjust a faculty member’s tenure value to align with an approved A/B salary agreement.

Academic HR Business Partner
This position plays a key role in counseling campus partners and the broader campus on UW policies and processes, advising and assisting on employee relations cases, participating in labor relations activities, leave management, and other issues related to the academic personnel employment lifecycle. This is a great opportunity for an experienced HR professional interested in processes, projects, and initiatives associated with central administration.

Program Operations Specialist
This position provides critical administrative and operations support to all OAP teams and is a key partner in a number of OAP’s strategic priorities and initiatives. This is a great opportunity for an individual interested in applying and expanding their office management skills in a central administration setting.

Enhanced Trainings and Forums Archive
Check out our newly reorganized Training and Administrators Forum Archive, which now categorizes resources so you can locate past trainings more easily.

 
Reminders
Interfolio Advertisements
Before closing an Interfolio ad, the unit administrator should ensure they are listed as a Committee Manager and have removed the search committee members. This helps protect the recruitment record from inadvertent changes or unnecessary access during the required records retention period. This will also enable AHR to use Interfolio - instead of emailing outside the system - to efficiently communicate with the unit administrator about any needed revisions associated with the ad-close process.

Preparing for Summer Hiatus 
The ISC will process academic personnel included on units' summer hiatus reports later in spring. Units should take the following steps now to prepare:
  • Run R0623: Academic Positions with Invalid Service Periods report and make any necessary corrections in Workday.
  • Run R0047: Summer Hiatus Audit report to identify academic personnel who are eligible for summer hiatus. Note that only faculty with 9-month service periods and some extension lecturers are eligible to be placed on summer hiatus.

  • R0469: Academic Workers Without Primary Academic Appointments
  • R0612: Academic Appointees without Active Positions
  • R0650: Academic Personnel with an Invalid Primary Academic Rank
Wed, April 6: Join the AHR Senior Reporting Analyst for a training session on Improving UW Academic Personnel Data Quality in Workday
Thurs, April 21: Submit Workday business processes to the AHR queue for academic titles requiring Board of Regents approval
Thurs, April 21: Join the ISO team for a Green Card Basics training

Document Management
In our February eDigest, we reminded campus partners to upload only PDFs to Workday. The Academic HR specialist team has noticed a marked improvement in uploaded file formats since last month. Keep up the good work!
