One of the most common data issues identified during the AP Census preparation effort was academic personnel who had dual or joint appointments, but no active position. This frequently occurs when the primary appointing unit terminates the appointment and position of an academic appointee who has more than one academic appointment, but doesn’t notify the secondary appointing unit of the termination. The secondary appointing unit, therefore, doesn’t know of the need to take action on the academic appointee’s record in Workday. This creates a host of problems with reporting and--in some cases--with compensation.
To prevent this issue from occurring, the primary appointing unit should review the data on the Current Appointments tab of the Academic menu in Workday
before terminating an academic appointee. If there are secondary appointments, the primary appointing unit needs to reach out to the secondary appointing unit(s) to alert them of the planned termination so those units can determine if they need or want to become the primary appointing unit. This may involve ending the secondary appointments, updating the appointment identifier for a secondary appointment, and possibly a job change to ensure the academic appointee has an active position in Workday.
